1Scope
This policy covers the Reclera website and the Reclera service: AI-assisted receivables outreach and document drafting for businesses. Reclera is a business-to-business service and is not intended for consumers or for children.
2What we collect
Information you give us: your name, work email, phone, company, fleet size or monthly volume, and anything you type into our forms. Service data you send us: invoices, rate confirmations, bills of lading, timestamps, payment status, and your customers' billing contact details. Communications data: records and outcomes of calls, texts, and letters sent on your behalf, including call recordings or transcripts where we make them. Technical data: IP address, browser type, pages viewed, and similar log data.
3Why we use it
To deliver the service you asked for — contacting your customers in your company's name about invoices you say are due, drafting documents you approve, and reporting outcomes back to you. Also to support you, bill you, secure the service, prevent abuse, and meet legal obligations. We do not sell your data, and we do not use your documents to train third-party foundation models for their own purposes.
4No custody of funds
We do not process your payments. Money from your customers reaches you on your existing payment rails, so we do not hold bank account balances or take custody of funds.
5Service providers
We use vendors to run the service — cloud hosting and databases, telephony and messaging providers, AI model providers, email delivery, analytics, and payment processing for our own invoices to you. They may process your data only to provide those services to us under contract.
6Call and message recording
Calls placed for you may be recorded or transcribed where permitted, with any notice required by applicable law. Recovery calling is available only to companies whose customers are in supported states, and we expand state by state.
7Retention
We keep account and service records for as long as your account is active and then for as long as needed for legal, tax, dispute, and audit purposes. You can ask us to delete documents you sent us; we may retain records we are required to keep.
8Security
We use access controls, encryption in transit, and least-privilege access for our team. No system is perfectly secure; please use strong, unique credentials and tell us promptly if you suspect a problem.
9Your choices and rights
You can request access to, correction of, or deletion of your information by emailing us. Depending on where you or your business are located, you may have additional rights under applicable state privacy law. You can opt out of marketing email at any time using the unsubscribe link.
10Cookies
We use essential cookies to run the site, and basic analytics to understand which pages are useful. You can block cookies in your browser; some parts of the site may not work.
11International transfers
The service is operated from the United States. If you use it from elsewhere, your data will be processed in the United States.
12Changes
We may update this policy. The current version and its date are always posted here.
